Terms and Conditions

By accepting a place on a course with us you are agreeing to adhere to these terms.

Lesson Fees

Durley Swim School lesson fees vary according to the length of the lesson and whether they are a group lesson or a private  1:1 or a 1:2 lesson.  For specific details on lesson prices see the website or contact the admin team directly  lessons@durlyhouseswimschool.com. Lesson fees must be paid in accordance with the terms set out below.

Durley Swim School lesson fees are reviewed annually and may be increased each year.

Starter fee

There is a one off £25 starter admin fee per family when starting term time lessons.

Discounts

A discount is offered to families with four siblings enrolled at the same time in term time lessons.  The sibling with the lowest fees for the term will receive a 25% discount.

Bookings and Payments

Temporary reservations for places on our courses can be made for a limited, agreed period. Places are only secured when a completed membership form, medical details and full, or agreed partial payment, has been received.

No classes may be attended if there are outstanding fees that are overdue for payment.

Holiday Course bookings for both NEW and EXISTING customers

The full cost of the holiday course must be paid upon receipt of the holiday course invoice.

If full payment is not made by the due date on the invoice, we reserve the right to cancel the booking.

Late fees will be applied to lessons fees not paid by their due date

Payment of fees overdue between 1-7 days will incur a £5 late fee

Payment of fees overdue between 8-14 days will incur a £10 late fee

Payment of fees overdue more than 14 days will incur a £20 late fee

If you have booked a holiday course and now wish to cancel, please notify us as soon as possible.

If you inform us:

a) more than three weeks before the commencement of the Holiday Course, we will refund you your payment in full.

b) between one and three weeks before the commencement of the Holiday Course, you will forfeit 50% of the amount paid. We will credit your account with the other 50%.

c) less than one week before the commencement of the Holiday Course, you will forfeit the entire amount paid for the Holiday Course.

If you have booked a holiday course and, before it commences, you inform us you wish to change your booking for one holiday course to another holiday course in the same holiday period, subject to availability, the payment of any difference in cost and our complete discretion, you may do so without financial penalty

No refunds or makeup sessions are available for missed sessions during holiday courses.

Once a course has started, requests for a cancellation will not be eligible to any refund.

Enrolling on to Term time courses (NEW customers)

The full cost of the term time course and the NEW starter administration fee of £25 must be paid at the time of booking the course.

If full payment, or an agreed first instalment payment, is not made at the time of booking the term time course, we reserve the right to cancel the booking.

If you are a NEW Durley House Swim School customer who has booked a term time course and you inform us that you wish to cancel your booking:

a) more than three weeks before the commencement of the term time course, we will refund you your payment in full.

b) between one and three weeks before the commencement of the term time course, we will refund you in full the terms fees, less the £25 administration fee.

c) any time up to the commencement of your second scheduled class, we will refund you the unused balance of your course fees minus the £25 administration charge.

Re-enrolling on to Term Time courses (EXISTING term time customers).

If you are currently enrolled in term time lessons we will automatically reserve a place for you for the following term. We will then email you details of the place reserved two weeks before the end of the current term. If you do not wish to re-enrol, we kindly ask that you notify the lessons team at  lessons@durleyhouseswimschool.com as soon as you are able to.

Re-enrolment invoices are due for payment two weeks before the start of the Spring and Summer terms and three weeks before the start of the Autumn term. If payment is not received by the due date, we reserve the right to cancel your booking and offer the place to another applicant.

If you cancel a booking for the next term at any time after the invoice has been paid but prior to the course commencing, we will issue a refund minus a £25 administration charge.

Splitting payment into two instalments

We offer both NEW and EXISTING customers who enrol at the start of the term the option to pay the terms fees in two instalments. The second instalment is due for payment in week 5 of the term.

We do NOT offer the option of only booking lessons for only the first half of the term. When customers sign up for termly lessons they are committing to pay all the lesson fees from their start date until the completion of the term either in one lump sum or in two instalments. If a customer has requested paying in two instalments they cannot cancel and opt out of paying the second instalment part way through the term

If the second instalment is not paid by the respective due date, the student may not attend any further classes until payment has been made.

If the second instalment is paid after the due date, we will withdraw the option to pay future termly fees in two instalments.

Payment Options

Payment for courses must be made by BACS.

When paying please use the invoice no. and/or the swimmers name as the reference.

 We do not accept payment by credit card.

Cancellations

Once a course has started, except for NEW customers enrolling on term time course,  requests for a cancellation will not be eligible to any refund.

In the event that you are unable to attend a lesson due to sickness or holiday, we regret that we are unable to refund. This is due to the fact that we have reserved the place for your child and the staff and venue have already been arranged. We are also unable to offer alternative lessons when lessons are missed. Unfortunately, what seems like one simple request is an impractical administrative task when spread across hundreds of clients.

In exceptional circumstances, it may be necessary for Durley House Swim School to cancel a class. If this happens, you will be notified with as much notice as possible by email and on our social networking feeds.

Where a class is cancelled due to an event outside our control, eg severe weather or closed roads, no refunds or credits will be given.  We will endeavour to put on a replacement class/classes however a replacement session can’t be guaranteed.

Where the pool is not available on a longer-term basis (in excess of one week), on public health grounds outside of our control, then we cannot be responsible for providing further lessons to you during that time.

If this occurs, and in the event that it is not possible to reschedule the classes, we will either refund the unused balance of your course fees or provide a discount on a future term’s fees at our discretion.

Credits/Refunds

All credits/refunds are discretionary and will only be considered for students who have incurred the following:

  • Major illnesses

    • Hospitalisation

    • Relocation

Credits/refunds will not be granted for absences due to going away on holiday, exams or clashes with other activities. Make-up or replacement lessons are not offered when a session is missed.

Credits/refunds for medical reasons will require a medical certificate. An administration fee of £25 will be deducted from all refunds/credits.

Request for Class Timetable Changes

If you wish to change either the day or time of a class please email lessons@durleyhouseswimschool.com. We make every effort to accommodate requests for changes, however it is dependent upon the availability of vacancies and no guarantee can be given. Please note that memberships and lessons are not transferable to other people/family members and cannot be converted to other products or services.

Teachers and Timetable Changes

Durley House Swim School reserve the right to cancel or change classes and instructors if the need arises. We endeavour to provide you with the most consistent experience as possible; however, there are occasions when session and teacher changes are required.

All our teachers are either STA or SE qualified swimming instructors

Hygiene/Safety

All students should endeavour to shower before entering the water. Removing body lotions, perfumes etc before swimming contributes significantly to maintaining water quality.

We operate a strict double nappy policy for those children not yet fully toilet trained (happy nappies can be purchased from the staff at Durley House Swim School). Nappies (including disposable swim nappies) must be placed in a nappy sack and into the nappy bin provided in the changing area – NOT in the other non-nappy bins

Plastic water cups should be placed in the plastic cup bin after use so that they can be recycled.

All students in stage 2 classes and above should wear a swim cap and goggles.

If your child has been unwell or is suffering from a stomach upset we advise you not to bring your child along for their lesson. Here is a list of things your child should do before their lesson:

  • Go to the toilet

    • Blow their nose

    • Tie back long hair

    • Make sure they have a shower

    • Bring along any relevant medication.

Parental Supervision

It is the condition of entry that all children aged 9 years and younger must be accompanied by a parent or guardian whilst attending their swimming lessons. Children will not be accepted into lessons if a parent or guardian is absent. Children must be collected from poolside by the parent or a guardian over the age of 16 at the conclusion of every lesson.

Customers should aim to arrive no more than 10 minutes before the lesson and leave no more than 15 minutes after the lesson to help improve changing room comfort.

No swimmer should enter the Pool Area without a member of the Durley House Swim School staff being already present.

There must be no food or drink poolside, other than water provided by our front of house.

Swimmers, siblings, parents and guardians are expected to observe the venue’s no smoking policy.

No outdoor shoes are to be worn on poolside –please either remove shoes & socks or put on shoe covers provided, before you go onto poolside.

Spectating siblings, parents and guardians are requested to please keep poolside noise to a minimum so that all lessons can take place in a calm and peaceful atmosphere.

Guardians are responsible for supervising their children outside of their scheduled lesson time. Children must not enter the swimming pool, sit on the pool steps, or dangle their hands or legs into the water outside of their lesson time. Children should only enter the water when invited to do so by their swimming instructor and must leave the water in a timely manner at the end of their lesson, and/or at any time if instructed to do so by their teacher.

Photographic & Video Images

Parents or guardians may not take photographs or video footage of a child or children whilst they are attending lessons without the consent of the Durley House Swim School staff and all of the other parents or guardians whose children are in the pool at the same time.

Durley House Swim School staff may from time to time take some pictures or video during class to use for marketing purposes. All photos will be in line with ASA Photographic Guidance Policy.  Please advise your teacher if you are uncomfortable with this.

Medical Conditions

Please inform us of any relevant medical considerations or health issues a child has. If a child has a disability and requires additional support, please let us know so that we can help. It is the parents/guardians responsibility to notify us of and disabilities or medical conditions. This is so that we can ensure safe and effective teaching methods and standards are maintained.

Any swimmer found to be suffering from any infectious ailment or condition will not be allowed to participate in the lesson and it’s the responsibility of each swimmer, or if a child, their parent or guardian, to ensure that the swimmer is fit and well enough to participate. Durley House Swim School do not accept liability for any infection passed to a swimmer by another swimmer whilst at the pool.

Physical Contact

Parents/guardians should be aware that our teachers will be teaching from in the water and will make physical contact with students.  If you have any concerns, please let us know.

Lost Property

All property is the responsibility of the child and the guardian attending the venue and that Durley House Swim School and cannot be viable for any lost or damaged belongings. Items found will be held for a period of one month before being disposed of or donated to charity.

Conduct and Behaviour

Customers are responsible for their children at all times and must inform the teacher prior to the lesson if they have any concerns.

Durley House Swim School operate a zero-tolerance approach to any form of misconduct or abusive behaviour towards teachers, carers or other children. Anyone reported for such behaviour will be asked to leave classes with immediate effect and will forfeit any remaining balance on their membership. The swimmer will not be accepted for any future course organised by Durley House Swim School.

Privacy Statement

The personal information collected by Durley House Swim School is used to provide contact information for Durley House Swim School teachers and administration staff. Information such as medical details is required to assist in accommodating the individual’s needs and abilities. All personal information is kept in accordance with the Information Privacy Act

Exclusion of Liability

In the absence of any proven negligence, lack of due diligence or breach of duty by your teacher; Durley House Swim School, or its employees, the participation of you; your spouse/partner; child or those in whose care you have placed your child for the purpose of attending or observing Durley House Swim School swimming sessions is done so entirely at your and their own risk.

Changes to Terms and Conditions

From time to time we may update these terms, by sending you either an updated version or notification of minor changes. You are free not to accept these changes but we would ask you to notify us in writing of your non acceptance within 14 days of your receipt, failing which we will be entitled to treat our agreement with you as being subject to the updated version.
